How to access event summaries and download detailed overviews for planning and administration.

All information entered for a specific event is bundled in the Summary. You can find this by going to Event - Main and clicking the Summary button in the top right corner.

  • Automated delivery: The summary is automatically emailed two hours before the event starts to the address specified in Settings - Events - Planning defaults. This serves as a handy production overview or a physical backup.

  • Customizing the view: Not all information is relevant to everyone. Use the arrows next to each heading to expand or collapse sections. This allows you to hide data you don't need before printing.

  • Printing: Once you have selected the relevant sections, click Print in the top right corner for a print preview.

How do I download Event Overview reports?

The Event Overview report provides a comprehensive list of all events, making it ideal for creating monthly or yearly summaries. You can find this report under Reports - Event Overview.

To customize your report, you can filter by:

  • Date range

  • Project Type

  • Event Lead

The generated spreadsheet includes detailed information for each event, such as start and end times, event and project types, status, Event ID, location/space, and the number of expected visitors.

How do I download a crew hours overview?

In Reports - Crew, you can download Excel reports of hours worked by staff. Since these are Excel files, you can easily filter or edit the data.

You can generate reports for a specific period (Crew by period) or event (Crew by event) and per:

  • Team

  • Role

  • Crew member

You can then customize the columns of your report by selecting or deselecting them. The options are:

  • Shift start date

  • Crew member name

  • Contact ID

  • Crew member ID

  • External ID

  • Start time

  • End time

  • Hours planned

  • Role

  • Team

  • Phone number

  • Email address

  • Event name

  • Accounting ID

  • Event type

  • Project type

  • Event status
