How to add and invite guests
There are two ways to handle guests in Stager. You can send them a free ticket to scan at the door, or you can simply add their name to the guest list so your host can check them in manually.
Before you start, make sure you have created the correct ticket types for your event. The "Door" field must be checked for the ticket type in the Tickets tab of your event to be available for guests.
Adding guests manually
If you only have a few names to add, doing it manually is quick and easy.
Go to Ticketing - Guests.
Select your event in the search box at the top of the page.
Click + New guest(s) and choose Single guest.
Select the Ticket type and specify how many spots this person gets.
Click Save.
Importing a guest list
Need to invite a large group? You can import a guest list using a CSV file.
Go to Ticketing - Guests and select your event.
Click Import, then click + New Import.
Download the sample CSV to use as a template. You need at least a first name and the number of tickets. Include an email address if you plan to email them their tickets.
Upload your file. Stager will show a preview.
If it looks good, click Finish.
After importing, you choose your next step. You can either click Add to guest list to put them on the door list, or Mail tickets to send them scannable tickets right away. If you try to import more guests than you have tickets available, simply adjust your available amount of tickets via the Configure Tickets button and reload the page.
Using the External Guest List
Save yourself some time and let your artists manage their own guests. They can fill in their list via a secure link without needing a Stager login.
Go to Ticketing - Guests and select your event.
Click + New Guest(s) and choose External Guest List.
Enter the name of the Guest List Manager (the person responsible for the list).
Select the (guest) Ticket Type and enter the number of spots they are allowed to fill.
Set a deadline in the Lock list after field. Once this time passes, the list is closed and any unused spots are released for general sale.
Click Save, then copy the Share link to send it to the artist.
The manager can type names in manually or paste a list straight from a message. Stager automatically recognizes separate names and +1s.
Mailing guest tickets
If you want your guests to walk in through the regular queue with a scannable ticket, you can email tickets directly to them.
One-by-one: Go to Ticketing - Guests, select your event, and click the yellow Mail guest tickets button. Fill in the details, and the ticket is sent instantly.
In bulk: Use the Stager Mailer via Marketing - Mailings. Drag a Guest Tickets block into your email. You can send a Direct ticket link (they get tickets immediately) or an Invitation link (they must actively claim the tickets before a deadline, or the tickets expire).
Managing and checking in guests
The guest list is set, and the doors are about to open. Here is how to manage guest details and check everyone in smoothly.
Managing guest details and statuses
A guest ticket has two possible statuses: Reserved (before check-in) and Sold (after check-in).
If you made a mistake or need to change a guest's details, you can easily adjust this before they arrive:
Go to Tickets - Ticket Management and open your event.
Check the tickets you want to expire and click Cancel Door Reservations. Note: A ticket can only be canceled if it has the Reserved status.
If the ticket says Sold, click Unscan, then Revoke Free Ticket. The barcode is now blocked, and you can edit or delete the guest.

Checking in with the Stager App
Your door staff can handle any guest situation directly from the Stager app. Make sure your team has the correct permissions set in Settings - Account - Users.
Scannable guest tickets
Guests who received an email with a ticket can enter through the regular queue. Simply go to Check-in, select the event, and use the Scanner option to scan their barcode.
The name-based guest list
If guests did not receive a ticket, they will identify themselves at the door.
In the app menu, go to Guest list and choose the event.
Swipe the guest's name to the right to check them in.
If a guest has multiple spots, swipe their name multiple times to check in their whole entourage person by person.
Need to add someone last minute? Tap the + at the top right of the screen.
Broken barcodes or empty batteries
If a guest has a ticket but their phone battery is dead, you can check them in manually. In the app's scan window, select Guest in the yellow bar. Search by their name or email address or find them in the list, select the + button and tap again to check them in.
Checking in via laptop
If you are running the door from a computer in the backstage environment, you have two options:
For the guest list: Go to Ticketing - Guests and select the event. Use the search filter to find the name, then click Check-in.
For scannable tickets: Go to Ticketing - Ticket Management. Search for the visitor's name, select their ticket, click the Actions button in the yellow bar, and choose Scan.
All systems are synced in real time. Once someone is checked in via the app or the laptop, they cannot use their ticket again.
