How do I invite guests and add them to the guest list?
You can check in guests to your event via Ticketing - Door sales or using the Stager App. Of course, before you can check them in, they must first be on the guest list. Do you want to add the names separately? Then read on below.
How do you add someone as a guest?
Go to Ticketing - Guests.
Select the event you want to add guests to in the search box at the top of the page.
Click on + New guest(s) and choose 'Single guest'.
Select the Ticket type and indicate how many people will be added to the list.
Click Save!
Do you want to add someone else? Click + New guest(s).
You can also put guests on the guest list using the Stager app.
How do you check someone in?
Select the event you want to check your guests into.
Click on Add guest and enter the name of your guest and a possible description.
Click the green check mark to check in one person. Are there more people for a guest list? Click the green check mark again.
You can also check in guests using the Stager app:
Go to 'Guest list' in the app.
Choose the event you want to check guests into.
Swipe the name right to check in the guest list spot or click the arrow on the right to check in the guest.
How do I edit a guest's status?
If you want to edit a guest’s details, click on Edit. To delete this guest, click Delete.
Go to Ticket Management.
Open the correct event.
Find the scanned ticket.
Click Unscan, then Revoke Free Ticket.
After this, the barcode is available again and you can edit or delete the guest.

How do I send guest tickets?
You can send guest tickets to contacts using Stager in three ways:
Via Ticketing - Guests; Send guest tickets to specific contacts one-by-one manually.
Via Ticketing - Guests; Import a group of contacts and send them different numbers of tickets with one email.
Via Marketing - Mailings; Send the same number of tickets to one or more contacts.
1. Send guest tickets one-by-one
The fastest way to send out a single ticket is via Ticketing - Guests. Choose the right event here and click on the yellow button 'Mail guest tickets' at the top right. A pop-up opens where you select the relevant email address, name, ticket type and number of tickets. The email is then sent immediately and looks like the standard ticket download email sent to ticket buyers after they have paid for their tickets.
2. Import and invite guests

3. Send guest tickets in the Stager Mailer
First you find the target group you want to email and then you build the email. Via Marketing - Contacts - Audiences you define the target group. A list will appear that you select and then you choose to email them via Stager.
It is also possible to start with the email. You can then add the names of the recipients one by one in the 'Send to' field. In both cases, the email addresses end up in the BCC and recipients do not see who received the email from each other.
Adding tickets
Drag a Free Text block to the sample email and type your message in the text area. Or you add it in the form of an Intro, whatever you like.
Then drag a Guest Tickets block to the preview and set it in one of these ways:
Direct or invite
With 'Direct ticket link', the recipient receives tickets immediately. Using 'Invitation link', the recipient must first actively accept the tickets, otherwise they will expire.
Choose the event for which these tickets are valid.
Choose which guest ticket type you want to send.
Indicate how many tickets will be sent per recipient.
Enter the correct text for the download button.
Optional: If you have chosen to send an invitation, specify when it expires. After that time, any unclaimed tickets will automatically return to general sale.
Send a Test Mail to yourself to see what the mail looks like. The 'I will attend' button does not work in a test mail, so you cannot download a test ticket. When you send the email to the recipients, the button will of course work.
Manage tickets
Made a mistake or sent too many tickets? You can change the tickets via Tickets - Ticket Management. Select the correct event and check the tickets you want to expire. Click Cancel Door Reservations. A ticket can only be cancelled when it has the RESERVED status. When it says Sold, you can revoke the ticket. The barcode of this ticket will be blocked then.
Have you cancelled one of two reserved tickets? The recipient can download the one ticket, the other one has expired and is no longer visible in the download link of the email.
How do I check in guests at the door with the Stager App?
You sent out the guest tickets and added names to the guest list. Your event will start soon and your door staff will soon greet them. Read on to learn how to check in guests as smoothly as possible.
This applies to guests with a free ticket or a spot on the guest list. Visitors with a regular ticket can be scanned in with the Stager app. Read more about that.
Check in tickets with the Stager app
If you have sent all guests their own ticket by email, you check them in the same way as the regular audience: as they have a valid ticket that can be scanned. These two visitor streams can easily enter via the same queue, routing, or scanner.
It can of course happen that someone does not have their tickets with them. In that case, you check in the guest by name. In the app, go to Check-in and choose the correct event + correct ticket types. At the top of the screen is a yellow bar, you use the 'Scanner' option to scan tickets with the camera. Go to 'Contact' and search by name or email address.
The same system with checking in guests by name also works for regular visitors.
Checking guests in with the app
If guests are on the guest list, they won’t have received a ticket. They identify themselves at the door and the host will let them in and check in. This is how you do it via the app.
In the main menu, go to ‘Guest list’ and choose the event. You can see how many guests are on the list and how many have already checked in. Swipe the name on the list to the right to check in someone or tick the circle in front of the name. If someone has multiple places, you swipe / check that person several times. This is how an entourage can be checked in, per person.
Did you forget to put someone on the guest list? With this screen you can quickly add someone with the + at the top right of the screen.
Checking guests in with a laptop
In the Backstage, go to Ticketing - Guests. Choose the right event here. You see the guest list and can (if you have the permissions) add new names to it.
There is a search field above the names; this is a filter. That means you only extract the names that are currently loaded. If the guestlist is longer than what is initially loaded, you will only get the names that meet the criteria that were already loaded and not the names that are under the 'Load more' button.
Choose 'Check-in' to check the guests in.
All of the above systems are interlinked. Once someone has checked in, the information is processed immediately and that person cannot be checked in again via a different route.
How do I manage the guest list with the Stager App?
There are different ways to add guests to the guest list and check them in:
NOTE: Make sure the right permissions are set in Settings - Account - Users. If you do not see the guest list or are unable to add guests in the app, you probably do not have permissions for this.
Checking in guests
In the app, go to Guest list and select an event. Swiping right results in checking in one guest. Guests who arrive at different times can be checked in separately.
Tap the name of the guest for Guest details and check them in by clicking Guest Arrived.
Make sure that sufficient guest tickets are available. At the top right of the app, you can find the Add Guest button to add new guests.

Add guests
Guests can be people who already have their details in Stager or people not yet known to Stager. When a guest is not known, you search by name and select the relation from the drop down menu. The event is then linked to the relation. This way, you can find who has been to what event.
Or you click the Edit button to add additional guest list spots to an existing guest.

Add multiple guests simultaneously
You can also add guests in bulk with the app. Suppose you receive a list via WhatsApp. You copy the names, open the app and paste the list in the app. Stager recognizes the different names and how many spots are assigned to someone. See the example of how you can provide the list below:
How do I check in contacts who can’t show their ticket with the Stager App?
A visitor is at your entrance and presents a ticket barcode that can no longer be scanned. Or; the visitor cannot show the ticket because the phone battery is empty. No worries! Search for the ticket by name or email address and then manually check in the visitor.
In the scan window, choose Contact in the yellow bar. Enter the name or email address and select the correct ticket buyer. You can scan them directly by swiping to the right, or you can check the details of the ticket and then click check in contact. The ticket will then be marked as SCANNED.
If you don't scan using the app but in the backstage environment, on a laptop or computer? Then you can check visitors in via Ticketing - Ticket Management. Search here by the name of the visitor and select the ticket you want to check in. A yellow bar will now appear with a button called 'Actions'. Click the button and choose the option 'Scan'. Your visitor is now checked in.
How do I import and invite guests?
You can invite large groups of guests in one action, using Import Guests. Alongside adding guests to the guest list one by one, or sharing an external guest list, you can also import guests via a spreadsheet.
Choose one of the two follow-up actions:
Add guests to the list via Add to guest list.
Email tickets via Mail tickets.
How do I import a guest list?
Via Ticketing - Guests you can find an overview of the guests for each event.
Select the event you want to import the guest list for.
Click on Import and you will see an overview screen of imported guest lists.
Click on '+ New Import'. Download the sample CSV and use it as a template. Enter at least a first name and a number of tickets. If you want to send an email, an email address is also required.
Once you've chosen and formatted your file, Stager will preview the data to be imported. Does it look good? Import using the 'Finish' button.
You then return to the overview page of imported guest lists. The list you just imported is found here. Now choose what you want to do with the guests.
Stager only imports CSV files. These are very similar to Excel files, but differ in that the columns are predefined. If you fully reuse the first line of the example file, your import will work smoothly. Do not adjust the columns and only enter the data in the correct place.
How do I add guests to the guest list?
Add your guests to the guest list. At least a first name is required for this. Guests with an email are also added to Contacts.
Choose a ticket type and enter a description. The names of the visitors are then added to the guest list with the specified ticket type and the entered number of places. You can see the description on the guest list.
Your imported list may have more tickets to issue than are available for the event. If this is the case, make extra tickets available via Configure Tickets. When you've done that, click Reload Tickets to reload the page to see the new numbers.
How do I mail tickets to guests?
Choose this if you want to email the guests the tickets. You will be forwarded to the mail composer. Choose the template you want to use. The component 'Guest tickets' has already been added to your mail and all recipients of the list have been added to the 'Send to' field. It is not possible to adjust this.
Choose whether you want to email an 'Invitation link' or 'Direct ticket link'. The invitation must still be accepted by the recipients before they actually receive a ticket. Tickets that are not accepted are released at a time set by you, so that you can still sell them. The recipient can directly download the tickets via the 'Direct ticket link'.
You can format the email (images, text, GIFs, etc.) and send to each guest the number of tickets you specified in the imported CSV file. This can be a different number of tickets per recipient.
How do I work with the external guest list?
Let parts of the guest list to be managed by external parties.
This labour-saving External Guest List means you no longer have to chase your artists and the guest list is completed on time.
What does it do?
Suppose 4 artists perform at your venue and each artist is allowed 10 guests. You don't want to receive an email every day with a new name for the guest list, especially as the artist is responsible for their own guest list.
That's why Stager developed the External Guest List. The artist can manage the guests without logging in to Stager. They receive a link containing the guest list spots and a closing date. They can change this as many times they like until the guest list closes. Then all guests must be on the list; which can no longer be changed. You can check in the guests in the Stager Backstage or with the Stager App.
How it works
Go to Ticketing - Guests
Select the event for which you want to create the guest list and choose + New Guest(s) - External Guest List. Is this button not visible? Then you probably don't have the correct permissions. You will have to contact a user that can grant you those permissions.
Enter the name of the 'Guest List Manager'. This person is responsible for managing the guest list and will receive the external link. By default, the Guest List Manager adds the guest names, but anyone with the link can also add or edit names until the list is closed.In 'Additional Field' you can add extra information that will be visible to the Guest List Manager. Use this field to give context or details that help the Guest List Manager when filling in their list.
At 'Ticket Type' you indicate what kind of ticket the guest ticket is. The guest will not receive a ticket, but of course, there should be enough places available. The number of Guest tickets - and thus guest list places - can be set in Event - Tickets. Please tick Door there, because then they will be visible in the Guest List.
Indicate how many guests the 'Guest List Manager' is allowed to bring with number of spots.
You need to close the guest list at some point, to finally confirm it. Guest list spots that have not been assigned to a name will be released and can be sold. Enter the deadline for completing the guest list at 'Lock list after'.
Save! A spot is now reserved for these future guests in Ticketing - Ticket Management. These spots have the status "Reserved". Once the External Guest List has been filled in, the spots are assigned to names and the status changes to "Sold".
Click the Share link and send the link to the artist.
The artist can then add their guests without logging in. They can adjust it until the moment the Lock List date expires. The guest list manager can type the names in the field, but also copy-paste a list (for example from WhatsApp). Stager recognizes the separate names, lists, +1's and so on, and makes a clear list that can be confirmed.
From then on, the list works like the normal Guest List. The guest makes themselves known at the door and the guest can check in via Ticketing - Door sales - Guest list and of course via the Stager App.
