How can you plan your crew?
You schedule your crew in a daily, weekly, or monthly overview, or per event. You decide for yourself which roles to fulfil, how to schedule staff and how to keep them informed. This is all done in the Crew environment which you can find in the left menu. Planning can also be done on Event level, when you navigate tot the crew tab.
How to add a Crew member?
Before you can start planning you crew, you first need to have crew members in Stager. You can add a crew member at Crew - Crew members - + New crew member.
Add their first name, last name, and email address, and they will receive an invitation mail where they can activate their account.
After sending the invitation email, you can fill in further details about the crew member, including assigning skills, roles and team to the crew member.
When you want to assign teams and roles, you first have to create them in Settings - Crew, more about that you can read here.
How can you create shifts?
Once you have set up your crew, teams, roles, and skills, you can start planning. You create shifts for an event in the Crew schedule tab of an event.
Click on the yellow + New shift button to create a shift, and specify which role, start time and end time you want to add. From here, you can start planning.
Which planning methods can I use to fill my shifts?
Stager offers three distinct methods to complete your schedule, depending on how much control you wish to maintain.
None; As the planner, you choose who works which shift. You choose the name and save.
Availability; You set up shifts on availability. Crew who can work in a role (who have the relevant checkmark in their crew member profile) log in to the Stager app and indicate if they are available. You can always check later on, and choose someone who is available.
Direct; The planner opens a shift immediately. Crew members log in to the Stager app and take this shift. There is no longer any need for a planner and the shift is completed immediately.
Can crew members unschedule themselves?
Once a shift has been officially assigned, it is not possible for a crew member to unschedule themselves directly. Whether a shift was assigned manually by a planner or confirmed through the app, the assignment is final. To be removed from a shift, the staff member must contact their planner, who can then delete the shift after approval. This process ensures that the planner stays informed and can maintain a reliable schedule.
However, the process is different for pending requests and general availability.
Crew members can mark themselves as available or unavailable for specific days, and they can use the "heart" icon in the app to request a specific shift. As long as these remain requests and have not yet been officially assigned by the planner, a crew member can still use the "cancel" option in the app to withdraw their request.
