How to plan your personnel

Schedule staff based on availability.

You schedule staff in a daily, weekly, or monthly overview, or per event. You decide for yourself which roles to fulfil, how to schedule staff and how to keep them informed.


Roles

You first create the personnel roles in the settings, setting out the different functions to be fulfilled. Then you ensure there are people you can schedule. You use contacts for this. The only difference between a regular contact (for example, a ticket buyer) and a staff member is the check mark next to the roles. Both contacts can log into the ticket shop. If a contact has at least one personnel role, they will see more options after logging in.


Creating shifts

Once you have defined roles and personnel, you can start planning. You create shifts for an event in the Personnel tab. Here you create a rule for each shift containing the role, times and planning method. Here you can see the list of those working and if there are still open shifts. You can also keep everyone informed of changes in this overview.


Planning

There are three types of planning:

  • None; As the planner, you choose who works which shift. You choose the name and save.

  • Availability; You set up shifts on availability. Contacts who can work in a role (who have the relevant checkmark in their contact record) log in to the ticket shop and indicate if they are available. You can always check later on, and choose someone who is available.

  • Direct; The planner opens a shift immediately. Contacts log in to the ticket shop and take this shift. There is no longer any need for a planner and the shift is completed immediately.
