How do I create and assign tasks for an event?
To keep your team aligned on production steps, you can link specific tasks directly to an event.
Navigate to the Tasks tab within a specific event.
Click Add Task and enter a clear description (e.g., "Prepare riders" or "Finalize catering").
Select the relevant Event Tab (e.g., Production or Personnel) to categorize the work.
Assign a colleague (or yourself) and set a Due Date for the deadline.
Note: These tasks will appear both within the event and in the assignee's personal "My Tasks" overview, which you can find in the left corner of the screen.
How can I manage my personal to-do list?
The My Tasks module serves as your central hub for all assignments, whether they are linked to a specific production or not.
For general tasks: Leave the "Event" and "Event tab" fields blank to keep the task private to your list.
For event-specific tasks: Fill in the event details to ensure the task also appears in the main event overview for your team to see.
How do I check off completed tasks?
Once a task is finished, simply tick the checkbox and click Save.
Event tasks: Remain visible in the event overview but are marked as "completed" for tracking.
Personal tasks: If not linked to an event, these will move to the Done list after saving to keep your workspace clean.
How do I collaborate on event notes and evaluations?
The Notes tab is designed for meeting minutes, event evaluations, and preparation details.
Adding Notes: Click + New note to create separate text blocks for different subjects (e.g., "Soundcheck Notes" vs. "Security Briefing").
Saving & Tracking: Always hit Save after editing. A timestamp will appear showing which team member made the most recent change.
Real-time Collaboration: Multiple colleagues with the correct permissions can view and edit the Notes tab simultaneously, making it ideal for live meetings.
Pro Tip: Standardize your workflow with Event Templates You can pre-configure both tasks and notes within your Event Templates (Settings > Production > Event Templates). This is a great way to automate recurring work. For example:
Tasks: Automatically include a task for concerts to "Send ticket sales report to administration."
Notes: Pre-fill a note with specific roles or questions for the post-event evaluation so the team knows exactly what to report on.
