Via Marketing - Contacts, you can find your complete customer relation management (CRM) system. Contacts are linked to many different functions of Stager and therefore appear in various places throughout the system. A contact always consists of at least a name and an email address - a unique record in your Stager environment.
How a contact is recorded in Stager
Contacts can end up in in Stager in eight different ways. This can be seen in the Source - at the very bottom of the contact's page.
Newsletter: the contact subscribed to a newsletter through Stager's subscription module.
Ticket sales: the contact purchased an online ticket and created an online ticket account.
Manual: the contact was entered manually by a Stager user.
Import: contacts imported into the database using Contacts - Import.
Guest list: the contact was put on a guest list with an email address.
TicketSwap: the contact bought a ticket via TicketSwap.
Ticket import: imported tickets linked to an email address and name.
Waitlist: the contact left their contact details to be on your waitlist
Grouping contacts
There are three ways to group your contacts in Contacts.
Through contact types created in Settings - Marketing - Contact Types.
Employee roles created in Settings - Crew - Teams and roles.
Based on Interests, created in Settings - Marketing - Customer Interests.
This allows you to carry out extensive and refined searches via Marketing - Contacts - Audiences.
For example, one search query can find all your sponsors who like reggae: which you can then email or export to an Excel or CSV file.
How to edit contacts in bulk
You can easily edit information on multiple contacts at the same time.
Bulk editing is done via Marketing - Contacts.
First, select the contacts you want to change or add information for. You can do this after you have imported a group using the import function or when you have found a group of contacts using the audiences search function.
Second, choose the contacts. Check the checkbox at the top to select all contacts on the first page. Or click on 'select all' to select all contacts on the following pages.
Third, choose what edit you want to do for all selected contacts: bulk edit, Overwrite or Add.
Overwrite
The overwrite function lets you overwrite existing data with new data. After clicking the overwrite button, you will be taken to a screen where you can define the data. First check the box next to the data you want to overwrite and then fill in the new information. Then don't forget to click overwrite.
When you add a new contact type, the old contact types will disappear and only the checked contact type will be included. If you want to add a contact type, use bulk edit - add. This function will automatically delete your existing contact types and only the checked contact type will be included.
Add
This feature lets you add information for a group of contacts. The old information will remain and will be supplemented with what you enter here.
Use add if, for example, you want to add a membership for a group of imported contacts, such as a new subscription for all your employees, or your VIP members. Import the groups separately, so that you can immediately process them correctly. With add you can, for example, also add a collection of contacts as newsletter subscribers.
Do you want to add an organization’s name? This cannot be done via add. Please use Overwrite. If the organization’s name has not yet been entered, you “overwrite” this with a new name and the empty box will be replaced with the new information.
How to anonymize contacts
When you delete a contact in Stager, it goes to the Trash Can. We do this because the information in Stager is interrelated. For example, if the contact has bought a ticket, that information will be reflected in Sales graphs and graphs such as Email Activity.
According to current AVG (GDPR) legislation, a contact’s information must be anonymized if they request this. For this we have added the Anonymize contact and Delete contact button to Contacts in Stager.
When you click on Anonymise you will be asked if you are sure. Clicking Yes removes all identifying information and then deletes the contact. This action cannot be undone!
We have made sure this doesn't affect ticket sales reports and charts.
Privacy settings
As an organizer you collect data from ticket buyers and other contacts. You are the owner of this data and have made a choice about its retention period. You set this up via Settings - Marketing - Privacy.
Here you set how many years you want to keep the data of contacts after their last activity. After this period, contacts are automatically anonymized and deleted. This data can no longer be retrieved.
Contacts are automatically deleted a number of years after:
Last login in the ticket shop.
Last use in the Backstage.
