How can you invite guests?

There are several ways to invite guests. In this article we have made an overview of the options you have and when it is best to use them.

There are two ways to invite guests:

  • Send free tickets

  • Put contacts on the guest list

In the first case, the guest receives a ticket that is scanned at the door, allowing them to enter with the regular visitors. In the second situation, there is only a name on the guest list - and guests do not receive a ticket in advance. The host at the door crosses off their name in the app and then lets the guests in.

In all cases, tickets must have been created in the event, and guest tickets must be available at the door (The 'Door' field checked).

Free tickets

There are three ways to send free tickets:

  • One by one to an email address (quick and easy).

  • In bulk via the Stager mailing system (using a preformatted mail, where each recipient receives the same number of tickets).

  • After an import (using a preformatted mail, where each recipient receives their allotted number of tickets).

Email guest tickets

The fastest way to send tickets is via Ticketing - Guests. Choose the right event here and click on the yellow button 'Mail guest tickets' at the top right. A pop-up opens where you select the relevant email address, name, ticket type and number of tickets. The email is then sent immediately and looks like the standard ticket download email sent to ticket buyers after they have paid for their tickets.

Stager mailer

Select a target group via Marketing - Contacts - Audiences. Choose to email via Stager. In the mailer you use the 'Guest ticket' component, under the Components heading on the left. Choose the event and number of tickets. Format the email and send everyone the same number of tickets.

Guest import

Via Ticketing - Guests you can import a list with name, email address and the number of tickets per person. After the import you have the option to send everyone an email, if everyone on the list has

an email address. You will be redirected to the Stager mailer and this works exactly the same as the option mentioned above, only the number of tickets per person is different.


Guest list

The other option is to put your contacts on the guest list. This is a (digital) cross off list via the app on the phone. The guests report at the door and are let in by the host. The guests will not receive a ticket or email if they are on the guest list. There are three ways to add guests to the guest list:

  • One by one (easy peasy).

  • Through the external guest list (let external parties fill in part of the list themselves).

  • After an import (an imported list of names and guest list places).

Guest list

You can add guests to the guest list through Ticketing - Guests. Choose the right event and click on 'Add new - Single guest'. Enter the name, description, ticket type and number of seats.

External guest list

You can have part of the guest list managed by external parties. This way, artists themselves can indicate who is coming, without having to constantly app/call/email you in the run-up to the event. Select 'Add new - External list' via Ticketing - Guests. You indicate here who manages this part of the list, how many places are reserved and until when this can be edited. You share the resulting link with the external party and they fill in the names themselves.

Guest Import

Using Ticketing - Guests, you can import a list with name, email address and number of tickets per person. After the import you have the option to send everyone an email, if everyone on the list has an email address. You will be redirected to the Stager mail out and the procedure works exactly the same as the options above, only the number of tickets per person is different.
